Microsoft Office Access एक प्रकार का Database Management System है। इसे Microsoft Company में Graphical User Interface और Software Development Tools के साथ Combine करके बनाया है।Microsoft Access का File Extension .accdb होता है।

Microsoft Office Access is a type of Database Management System. It is made by combining it with Graphical User Interface and Software Development Tools in Microsoft Company. The file extension of Microsoft Access is .accdb.

Component of MS Access 

MS Access के अन्दर चार मुख्य अवयव होते हैं:

1) Table

2) Queries

3) Reports

4) Forms

 

Table -

 

Table में Columns और Rows के Intersection से cell बनती है। Table बहुत सारी Cells का Organization होता है। इसका प्रयोग Data को व्यवस्थित रूप में Store करने के लिए करते हैं। इसमें प्रत्येक Record एक Row होती है तथा प्रत्येक Field एक column होता है।

 

A cell is formed by the intersection of Columns and Rows in the table. Table is the organization of many cells. It is used to store data in an organized manner. In this, each record is a row and each field is a column.

 

Queries -

 

किसी Table  या Database से कुछ Conditions को पूरा करके  Data निकालने के लिए जो Command दिया जाता है उसे Queries कहा जाता है। Queries से जो Information या Record प्राप्त होता है उसे Dynaset कहा जाता है।

 

The commands given to extract data from a table or database by fulfilling certain conditions are called queries. The information or record that is received from queries is called Dynaset.

Types of Query

Simple Query Wizard

 

एक simple Query टेबल  में सभी Fields का उपयोग कर सकती है और केवल एक पैरामीटर का उपयोग करके Search कर सकती है। और यह केवल आवश्यक फ़ील्ड का उपयोग करती है।

 

A simple query can use all the fields in the table and search using only one parameter. It uses only required fields.

 

 

Crosstab Query Wizard

 

Crosstab Query का प्रयोग ऐसे टेबल पर किया जाता है जिस टेबल में रिकॉर्ड (Information) को 2 Fields (Columns) को ग्रुप किया गया हो।

 

Crosstab Query is used on a table in which the record (information) in the table is grouped by 2 fields (columns).

 

Find Duplicate Query Wizard

 

Find Duplicate Query Wizard आपको टेबल या टेबल्स के भीतर डुप्लिकेट रिकॉर्ड खोजने और पहचानने की अनुमति देती है। डुप्लिकेट रिकॉर्ड एक रिकॉर्ड होता है जो एक ही चीज़ या व्यक्ति को दूसरे रिकॉर्ड के रूप में Refers करता है।

 

Find Duplicate Query Wizard allows you to find and identify duplicate records within a table or tables. A duplicate record is a record that refers to the same thing or person as another record.

 

Find Unmatched Query Wizard

 

Find Unmatched Query Wizard एक Query बनाता है जो एक टेबल में Record या Rows पाता है जिसमें किसी अन्य टेबल में कोई संबंधित रिकॉर्ड नहीं होता है।

Find Unmatched Query Wizard Creates a query that finds records or rows in one table that do not contain any related records in another table.

Report

 

एक रिपोर्ट एक डायनासेट है जिसे कागज पर Print किया जा सकता है। आप किसी भी Base पर डायनासेट की Information को Group कर सकते हैं और विभिन्न फॉर्मूलेशन और अनुप्रयोगों के साथ Print भी कर सकते हैं।

A report is a dynaset that can be printed on paper. You can group the dynaset's information on any base and print it with various formulations and applications.

Forms

 

Forms Screen पर एक ऐसी Window होती है जिसकी सहायता से आप किसी Table में भरे गए Data को देख सकते हैं और नया Data जोड़ सकते हैं।

 

There is such a window on the Forms screen, with the help of which you can see the data filled in a table and add new data.

MS Access Database Template

1) Assets

इसका प्रयोग एक Assets Database बनाने के लिए करते हैं जिसमें विभिन्न प्रकार के Assets की Detail, उनके Owner, आदि के बारे में सूचना की जाती है तथा उन सूचनाओं की देखरेख की जाती हैं।

It is used to create an Assets Database, in which information about different types of Assets, their Owner, etc. is given and that information are maintained.

2) Contacts

 

इसका प्रयोग एक Contact Database बनाने के लिए करते हैं, जिसमें लोगों की Information को Store किया जाता है तथा उसे Manage किया जाता है।

It is used to create a contact database, in which people's information is stored and managed.

 

 3) Events

 

इसका प्रयोग एक Events Database बनाने के लिए करते हैं। इसमें विभिन्न प्रकार के होने वाले Events को Store किया जाता है, तथा उसे Track किया जाता है।

It is used to create an events database. In this, various types of events are stored, and they are tracked.

 

4) Faculty

 

इसका प्रयोग एक Faculty Database बनाने के लिए करते हैं। इसमें एक Faculty से सम्बन्धित विभिन्न प्रकार की सूचनाएँ जैसे कि Faculty का Name, Contact और Education आदि को Store किया जाता है।

It is used to create a Faculty Database. In this, various types of information related to a Faculty such as Faculty's Name, Contact and Education etc. is stored.

5) Marketing Projects

 

इसका प्रयोग Marketing Projects Database बनाने के लिए किया जाता है। इसमें Marketing Projects से सम्बन्धित सूचनाएँ, जैसे Project  Start Date ,End Date, Delivery Date  आदि को Store किया जाता है।

It is used to create Marketing Projects Database. In this, information related to Marketing Projects, such as Project Start Date, End Date, Delivery Date etc. is stored.

 

6) Students

 

इसका प्रयोग एक Students Database बनाने के लिए करते हैं। इसमें एक Students से सम्बन्धित विभिन्न प्रकार की सूचनाएँ जैसे Name, Father’s name, Contact Number आदि को Store किया जाता है।

It is used to create a student database. In this, various types of information related to a student such as Name, Father's name, Contact Number etc. are stored.

 

इसी प्रकार MS Access Database में कुछ अन्य प्रकार के Template जैसे कि Issued, Projects, Sales Pipeline और Tasks उपलब्ध हैं।

Similarly some other types of templates such as Issued, Projects, Sales Pipeline and Tasks are available in MS Access Database.

Elements of Ms Access

1) Field Name

यह एक Label होता है जो किसी विशेष Field के बारे में बताता है कि इस Field में किस प्रकार की Information या Data Store कर सकते हैं।

किसी Table में Field का नाम Unique होना चाहिए। इसे Field Identity भी कह सकते हैं।

 

It is a label that tells about a particular field, what type of information or data can be stored in this field.

The name of the field in a table should be unique. It can also be called Field Identity.

 

2) Field Type/Data Type

डाटा टाइप हमे यह बताता है कि Field में किस प्रकार का Data Store किया जा सकता है। Data केवल Text और number भी हो सकता है।  या इन दोनों के Combination से भी Data बन सकता है। MS Access में किसी Data type की Default Size 50 होता है।

 

The data type tells us what type of data can be stored in the field. Data can be only text and numbers or a combination of these two can also form data. The default size of any data type in MS Access is 50.

इसमें विभिन्न प्रकार के Data टाइप होते हैं-

Hyperlink	प्रत्येक भाग में 2048 कैरेक्टर होते हैं

 

Field Length

 

Field length का मतलब है कि किसी Field में अधिक से अधिक कितने कैरेक्टर Store किए जा सकते हैं।

Field length means the maximum number of characters that can be stored in a field.

 

Primary Key

 

यह विशेष प्रकार की Key होती है, जिसका प्रयोग किसी Record को Unique रूप से पहचानने के लिए करते हैं। यदि किसी Field को Primary Key बना दिया गया है तो उस Field को खाली नहीं छोड़ सकते हैं।

This is a special type of key, which is used to uniquely identify a record. If a field has been made a primary key, then you cannot leave that field blank.

 

Validation Rule

 

यह एक प्रकार की Validity checking है। इसमें Data को Field में भरने से पहले उसकी Validity की जाँच होती है यदि Data की Validity सही है तो Data Field मे भर जाता है अन्यथा त्रुटि सन्देश Print करता है।

 

This is a type of validity checking. In this, before filling the data in the field, its validity is checked, if the validity of the data is correct then the data is filled in the field, otherwise the error message is printed.

 

MS-Access View

 

MS Access View में दो प्रकार के View होते हैं जिनका प्रयोग Table बनाने तथा उसके Field को set करने के लिए करते हैं।

There are two types of View in MS Access View which are used to create Table and set its field.

 

 

Data Sheet View

 

इसका प्रयोग Database में Data को दिखाने के लिए करते हैं यह Database में Data को Enter करने तथा उसे Edit करने की अनुमति प्रदान करता है| किन्तु इस View में Database को बदला नहीं जा सकता है। इस View में कॉलम का नाम भी सेट कर सकते हैं और नए कॉलम को जोड़ भी सकते हैं।

It is used to show the data in the database, it allows entering and editing the data in the database. But the database cannot be changed in this view. You can also set the name of the column in this View and add new columns.

 

Design View

 

इस View का प्रयोग किसी Table को डिजाइन करने तथा डिजाइन की गयी Table में परिवर्तन करने के लिए होता है। Table डिजाइन करने का तात्पर्य यह है कि Table में Field का नाम तथा उसका Data Type Set करना।

इसके द्वारा हम Table में अनेक प्रकार की Keys जैसे कि Primary Key, Candidate Key आदि Set करते हैं।

This view is used to design a table and make changes in the designed table. The meaning of designing a table is to set the name of the field in the table and its data type.

Through this, we set many types of keys such as Primary Key, Candidate Key etc. in the table.

 

 

Filtering Data

 

यह किसी विशेष Filter Criteria के आधार पर किसी Table से सिर्फ उन Records को दिखाता है जो दी हुई Criteria के अन्तर्गत आते हैं।

It shows only those records from a table based on a particular Filter Criteria which comes under the given Criteria.

 

Relationship

 

यह दो या दो से अधिक Table के बीच में अन्तर सम्बन्धों को बताता है। Relationship को तीन भागों में बाँटा गया है- One to One, One too Many और Many too Many.

It tells the interrelationship between two or more tables. Relationship is divided into three parts - One to One, One too Many and Many too Many.

 

Attributes

 

किसी Record की Properties को Attributes कहते हैं। जिसके प्रयोग से हम किसी Record को व्यवस्थित तरीके से पहचानते हैं।

The properties of a record are called Attributes. Using which we identify a record in a systematic way.

Macros

Macros के द्वारा टेबल को Automate कर सकते है। Macros के द्वारा हम फॉर्म Report अथवा Control पर Function को जोड़ सकते है।

You can automate the table through macros. Through Macros we can add Function on Form Report or Control.

Modules

Macros की तरह ही Module का प्रयोग टेबल को Automate करने और form, report अथवा Control पर Faction को जोड़ने में किया जाता है। macro एक्शन की लिस्ट में से चुनने पर macros बनाये जाते है, जबकि modules, visual basic में लिखे हुए हो। 

Like macros, Modules are used to automate tables and add functions to forms, reports or controls. Macros are created when selected from a list of macro actions, while modules are written in visual basic
